Overview
Appointment reminders make sure patients remember the visit they added to their schedule 2 weeks in advance or at least 2 days prior to the appointment scheduled. That way, they don't forget to show up, or they can at least cancel within a timely manner so your practice can fill that spot.
Below is the step-by-step process on how to send appointment reminder details manually.
Steps
1. Go to the Appointments Tab.
2. Choose Patient and click on More.
3. Select the type of reminder, and choose either Email appointment details or SMS appointment reminder.
*This will open up a text box for the chosen reminder.
For Email Reminder
(A) Template: If you have created your own reminder Email Template, simply select the template name. Otherwise, you can use our default email reminder template.
(B) Subject: The default subject for email reminders is "Dentist Appointment" you can change the subject line just by typing the word on the box.
(C) Message: The email reminder body contains information about the appointment details, direction notes, cancelation policy, payment policy, and other instructions.
For SMS Reminder
*When using an SMS template, please note that you can also see the word count. SMS charges are
AU$ 0.18 for 160 characters.
(A) Template: Similar to email reminders, if you have created your own SMS template, simply select the template name. Otherwise, you can use our default SMS reminder template.
(B) Message: The SMS reminder body contains only brief information about the appointment details, unlike email reminders where you can include other information such as directions, policies, etc. Charges apply when using an SMS template.
NOTE: Appointment reminders can be set up automatically by changing the calendar notification for each provider. Please follow this article on how to setup Auto Appointment Communication Settings.
