Overview
Core Practice has introduced an innovative feature that lets you preset, and it will automatically sends SMS communications to patients within a recall, providing numerous advantages for your dental practice and patients.
Automating the recall process reduces the need for manual sending of messages, freeing up staff time to focus on other essential tasks.
This feature streamlines communication, improve patient connections, and contribute to the overall efficiency of the clinic's operation.
Steps
1. To enable this feature, go to the group you want to give access to under Settings. In the Marketing Permissions category, tick the box beside Recurring Send.
2. Click on Marketing and go to Campaigns.
3. Hit on Create Campaign.
Page will be routed to an overview of the Campaign Templates which are already pre-made for your convenience.
A Preview button is also available for each campaign to be able to see the Summary and contents of the recall.
4. Select a Recall campaign.
Once you decide to proceed with the chosen campaign, you have the option to Customise This Campaign to tailor it to your desired settings. Alternatively, you can click on 'Review and Create Campaign' to skip the initial editing of campaign details.
Customising campaign details
Steps
1. Set the Interval (e.g. 6 months, 12 months, 18 months etc.) and enter the Procedures or Treatment codes.
2. You have the option to exclude certain Treatments and Outstanding appointments in this campaign.
5. Recall list can be refined by filtering it based on the locations where treatments were administered. Once done, proceed by clicking on "Continue to Recipients."
Next part of the Campaign settings is setting up the Campaign Recipients.
6. You can decide whether you wanted to Include or Exclude certain patient criteria (e.g. Health fund, Fee level, Category, Patient age). Afterwards, click on Review Campaign.
Campaign Review
This is the final step in setting up the campaign, where you review all the details. Additionally, you can choose your own template and determine the schedule for sending messages.
Steps
1. Choose your preferred template from the drop down list.
A preview of the SMS will be displayed after you selected your template
2. The Message Schedule is for the Automation of the campaign.
If you select 'Yes,' the system will automatically check for patients every day who meet the criteria set on the recall. Subsequently, the system will send the message automatically.
Schedule time: The time when the messages will be sent out.
Timezone: The timezone for sending messages.
End date: The date when the campaign will finish.
Sender: The phone number the SMS will be sent from.
3. Hit on Create campaign after finishing the settings.
After the campaign has been created, you will be directed to the old interface of the campaign, wherein you can change some of the options within the recall.
The new additional tab within the campaign option is the Schedule Tab wherein the automated recall settings can be found.
