Core Practice gives you a few simple ways to change an appointment. Once you're familiar with the options, managing appointments at the front desk becomes much faster and easier.
In this guide, you'll learn how to:
Appointment Attendance Statuses (FTA vs UTA)
When cancelling an appointment, it is important to choose the correct attendance status. This keeps patient records accurate and helps with follow-up.
Failed to Attend (FTA)
Use Failed to Attend when a patient does not show up for their appointment and does not contact the clinic beforehand.
Choose this option if:
The patient misses the appointment without letting the clinic know
The patient arrives too late to be seen and did not call ahead
Unable to Attend (UTA)
Use Unable to Attend when the appointment is missed with notice, or when the clinic needs to cancel.
Choose this option if:
The patient contacts the clinic in advance to cancel or reschedule
The clinic cancels due to reasons outside the patient's control (for example, the provider is sick or there is an operational issue)
Note: Your clinic may have its own policy for when to use FTA or UTA. If you're unsure, check with your practice manager.
Rescheduling an Appointment
If the patient wants to move their appointment to a new time, you can reschedule it directly from the existing appointment.
Steps
- Click the appointment block.
- Click the Calendar icon, then select Reschedule Appointment (or click the reschedule button, if available)
- In the calendar book, select the new date and time the patient would like.
- Click Reschedule Appointment
Helpful tip
When rebooking from a cancelled appointment, Core Practice allows you to track how many times an appointment has been rebooked. This gives you better visibility over repeated changes and can help your team manage frequent reschedules more effectively.
What happens next?
- The original appointment will be deleted automatically
- You do not need to enter an FTA or UTA status when using this method.
If you want to record an FAT or UTA before rebooking, cancel the appointment first, then follow the steps in the Rebooking after cancellation section below.
Cancelling an Appointment
If the patient is not attending and you need to record a cancellation, use the X option.
Steps
- Click the appointment you want to cancel, then click the red X
On the right side of the screen, select Failed To Attend or Unable To Attend.
Add a note (Optional but recommended).
Click Cancel Appointment.
FTA Counter
Each time you open a patient profile or create a new appointment, you'll see the patient's FTA counter.
This helps you quickly check how many times the patient has missed, so you can follow your clinic's attendance policy if needed.
Rebooking a Patient After Cancelling an Appointment
If a patient wants to book a new appointment after their previous one was cancelled. you can create another appointment from the cancelled booking.
Steps
- At the top of the appointment books, click Show Cancelled.
- Find and click the cancelled appointment.
- Click the Calendar icon, and then select Create another appointment.
In the calendar book, choose the suitable date and time.
