Overview
The Location Utilisation report provides an overview of appointment activity and utilisation across your locations. You can use the report to compare locations and then drill down into a specific location to review individual calendars and provider hours.
Access the Location Utilisation report
- Go to Reports.
- Under Performance, click Location Utilisation.
- Select the reporting period you want to review.
You can also use the month navigation options at the top of the report to move between reporting periods.
Location Utilisation overview
When you first open the Location Utilisation report, you'll see a summary of activity across all your locations for the selected reporting period.
The Utilisation Timeline at the top of the report provides a visual overview of booked hours, appointments and patients throughout the selected period.
Under Summary, you can review the following:
| Column | Description |
| Location | The location included in the report. Click the location name to view a detailed breakdown of its calendars and providers. |
| Calendars | Number of calendars associated with the location. |
| Appointments | Total number of pending, attended and Failed to Attend (FTA) appointments during the selected reporting period. |
| FTA | Number of Failed to Attend appointments. |
| Reappointed | Number of patients who left the clinic with a new appointment booked. |
| Patients | Total number of patients with pending, attended and FTA appointments during the selected reporting period. |
| New Patients | Total number of new patients with pending, attended and FTA appointments during the selected reporting period. |
| HRS BOOKED | Total number of appointment hours booked. |
| AVG. DUR | Average length of an appointment, in minutes. |
View details for a location
To view more information about a specific location, click the Location name under Summary.
This opens the Calendar Utilisation report for that location, where you can review individual calendars and provider-level utilisation information.
The Collections Timeline provides a visual comparison of hours worked and hours booked during the selected reporting period. The Utilisation chart also shows the utilisation percentage for each calendar or provider.
Under Summary, you can review:
| Column | Description |
| Calendar | The calendar or provider included in the selected location. |
| Days | Number of days included in the selected reporting period. |
| Appointments | Total number of appointments booked. |
| FTA | Number of Failed to Attend appointments. |
| Reappointed | Number of patients who were reappointed. |
| Patients | Total number of patients. |
| New Patients | Number of new patients. |
| HRS WORK | Total hours worked by the provider. |
| HRS BOOKED | Total hours allocated to booked appointments. |
| Utilisation | Percentage of available working hours that were booked. |
| AVG. HOURLY | Average hourly production value. |
| UNUSED CAPACITY | Potential unused appointment capacity. |
Review provider hours worked
To check how many hours a provider worked during a specific period:
- Select the required reporting period in the Location Utilisation report.
- Under Summary, click the location where the provider works.
- In the Calendar Utilisation report, find the provider's calendar.
- Review the HRS WORK column to see their total hours worked for the selected period.
You can compare HRS WORK with HRS BOOKED and Utilisation to understand how much of the provider's available working time was allocated to appointments.
A lower utilisation percentage may indicate that there is additional appointment capacity available in the calendar.
The Location Utilisation report can be useful for reviewing provider hours, appointment capacity, location utilisation and workforce planning.
