Overview
The Birdeye integration with Core Practice allows your practice to automatically send reviews and surveys to patients after their appointments.
Once set up, this process runs in the background with minimal manual input, helping you collect patient feedback and improve your online reputation.
How the Integration Works
The integration follows a simple automated workflow:
- Patient data is collected from Core Practice
- Data is transferred to Birdeye once per day
- Birdeye sends review or survey requests automatically
Birdeye pulls the following patient details:
- First name
- Last name
- Email address
- Mobile number
This data is pulled from appointments or cases closed the previous day.
What Triggers the request
You can control when patient data is sent to Birdeye using one of these triggers:
- Appointment Created – sends requests when an appointment is created
- Appointment Checked-Out – sends requests after the appointment is completed
These triggers are configured within your Birdeye account, not in Core Practice.
Setup Process
Step 1: Enable Birdeye in Core Practice
To enable the Birdeye integration, please refer to this article:
How to Activate Integrations via Core Practice App Marketplace – Core Practice
Step 2: Request Integration Setup from Birdeye
The integration is managed by the Birdeye team and requires an initial setup on their end.
To get started, contact Birdeye:
- Email: support@birdeye.com
- Phone: 1-800-561-3357 (Ext.3)
Once the setup is completed, you will:
- Log in to your Birdeye account
- Finalise the setup
- Choose when requests are sent (your trigger)
Step 3: Check your Timezone in Core Practice
To ensure the integration works correctly, your timezone must match in both systems.
In Core Practice:
- Click the cog icon, then select Settings
- Under System, click General Settings
- From there, you’ll see the Default Timezone
Make sure this matches your Birdeye business timezone.
Note: Ensuring the correct timezone is important, as mismatch may prevent the integration from working properly.
What Happens After Setup?
Once everything is configured:
- Patient data is automatically sent to Birdeye daily
- Review and survey requests are sent without manual input
- Your team does not need to manages or trigger messages
Workflow overview:
Core Practice → Daily sync → Birdeye → Automatic requests
Birdeye pulls patient contact details once per day (from cases closed the previous day) and sends review requests based on the preferences set in your Birdeye dashboard.
Important Notes
- The integration is not configured in Core Practice beyond Marketplace installation
- The setup after Core Practice installation is handled by the Birdeye team
- Ongoing management (triggers, messaging) happens in Birdeye
- Timezone mismatch is the most common reason the integration does not work
