Overview
Our "Letter" feature allows you to create custom letter templates using a clever text editor directly in the software. This text editor allows you to add mail merge labels, which will result in generating a letter for different patients, without having to change it manually for each one. All you have to do is format the template to the way that you'd like the letter to look, and Core Practice will fill it with the patient's details once it has been created from that patient's file. Here's how to do it.
Steps
- From the cog button, click Templates.
If you do not see this option, you may not have permission to create a new Letter template. Please contact your administrator. - Click on Create Template.
- Fill in the Template Details.
Different template Types available:
Letter Head: template as the letterhead for invoices, claims, receipts, treatment plans
Email Template: a template to be used for different email correspondence
Sms Template: a template to be used for different SMS correspondence
Pdf Template: not yet developed
Smart Letter: allows you to add labels (Step 5) for mailmerging details into your letters and can be used to generate Letters from the patient file - Click on Add content.
- Start creating your template by using the text tools. Hovering your cursor over each tool will show its name.
a) Heading formats: used to define headings. "H1" is the largest heading and "H6" is the smallest.
b) Paragraph format: used to define a paragraph. This is plain text.
c) Advanced formatting options: pre-formatted text as well as quoting text.
d) Source code: clicking this will show your entire letter in HTML format.
e) Insert image: allows you to insert an image by URL.
f) Insert table: allows you to insert a table.
g) Word/character count: a count of the words and characters in this template.
h) Basic formatting tools: includes emphasis, lists, redo, undo, remove formatting as well as paragraph formatting.
i) Auto-filled patient fields: adds a field so that when you generate this template for a patient, it will fill it with their data. For example, selecting "Title" will populate that patient's title into the letter.
j) Auto-filled provider fields: adds a field so that when you generate this template for a patient, it will fill it with their provider's data. For example, selecting "First name" will populate that provider's first name into the letter.
k) Auto-filled location fields: adds a field so that when you generate this template for a patient, it will fill it with their practice's location data. For example, selecting "Address" will populate that practice's address into the letter.
l) Auto-filled appointment fields: adds a field so that when you generate this template for a patient, it will fill it with their appointment data. For example, selecting "Start time" will populate that patient's appointment start time into the letter.
m) Auto-filled miscellaneous fields: adds a field so that when you generate this template for a patient, it will fill it with their data. For example, selecting "Time" will populate the time of generating the letter. - Click on Complete Template once you've finished editing.
Click on "Preview" for an overview of your template, or click on "Save" to save your progress and continue editing. - An example template:
